Socially Acceptable: Party Planning Basics

by Tamiya King August 03, 2005

If you love to plan get-togethers, or just like having your friends and family over for "nothing fancy", chances are you’re always looking for ways to make your next social gathering more enjoyable than the last. No matter the occasion, or the size of your next party, you can make a great impression on your guests by following a few party planning rules.

Think of a theme for your party

Even if you’re having a small get-together, planning according to a theme will help you to organize your party better. This will also make the look of your party much more creative, and your guests will definitely be impressed if you plan your themed party wisely. Be sure to be as consistent as you possibly can once you choose a theme, so that your guests will feel as though this gathering is more than just another party; a themed party is meant to be a social experience, not just another excuse for people to get together. Making sure that your party has a theme will also help you to determine your party budget, how you want the invitations to look, the decorations for the party, and the food that you’ll serve. Also, choose a theme that reflects your personal interests. After all, you want to enjoy putting your party together. You’ll be more inclined to effectively plan your party when you like what you’re doing, especially if you’re expecting a lot of people to attend.

Ask for help when you need it

Even if everything is not done by you, it can still be done right. You have more things to do than simply planning parties all day, so you’re going to need a little assistance to make sure that your party is a success. Ask family members or friends to help you with the cooking, decorations, and invitations. You can even assign a cleanup crew before the party so that you’ll know who’s going to stick around to help you get things back in order. You may need to ask certain people to cook for the party or to secure the location for the get-together as well. Delegate as many tasks as you need to, and be sure to ask people that you know you can trust. Ask about everyone’s schedules before assigning tasks, so that each person can volunteer according to their availability.

Prepare your guest list

Once you have a theme for your party and have designated people to help you, it’s time for you to decide who to invite. You should send out invitations to your party at least a month in advance. About a week before the party, follow up with all the people on your guest list to see who will be attending. During this week, you should also make sure that you have all the groceries you’ll need, and you can even prepare foods that can be made in advance. Knowing how many guests will actually show up will also give you an idea of how much decoration you’ll need. After you confirm your guest list, order any decoration for the party that you can’t make yourself, such as flower arrangements or balloon bouquets.

Take a day or two to set up

A day or two before the party, make sure that the party space is clean and begin setting up decorations. You can save flowers or balloons for last; these can be put out a couple of hours before the party. If you’re using paper utensils and place settings, arrange your tables and serving area the way you want as far in advance as possible. You should also thaw out any frozen foods that will be used for your get-together, and if you’re having any food catered, be sure to follow up with your caterer so that you’ll know when your order is finished, and when the food will be arriving at the party.

Relax before the party

Even though parties are supposed to be one of the times when you’re completely stress-free, you may be completely frazzled if you’re the one planning the get-together. The best way to calm your nerves is to have everything done as far in advance as you can. On the day of the party, prepare any remaining food, set up last-minute decorations, and "think through" the party to make sure you haven’t left anything out. Once the room looks the way you want it and the food has been prepared, take a few hours to relax before the party starts. This way, you’ll be refreshed and calm when guests arrive; after all your hard work, you deserve to have fun at your party!
